How HydroTrace collects, uses, stores and protects personal information under the Protection of Personal Information Act, 2013 (POPIA).

HydroTrace Leak Detection & Pipe Relining operates leak detection, pipe inspection, GPR survey and pipe rehabilitation services across South Africa.

2. What Information We Collect
- Contact details: Name, phone, email, property address.
- Service information: Description of the issue, property details, accessibility information.
- Communication records: WhatsApp, emails, phone notes, quotations.
- Site information: Photographs, diagnostic data, CCTV footage and reports.
- Payment information: Banking details for invoicing. Card payments are processed by third-party processors.
- Website usage: Standard analytics including IP address, browser type, pages visited.
3. How We Use Your Information
- To respond to your enquiry, quote and schedule work
- To deliver the services you've engaged us to perform
- To produce inspection reports and supporting documentation
- To invoice and process payment for services delivered
- To communicate with your insurer (with your authorisation) regarding claims
- To maintain service history for warranty claims and follow-up work
- To comply with legal, tax and regulatory obligations in South Africa
HydroTrace does not sell personal information to third parties.
4. Who We Share Information With
- Subcontractors and partners: PIRB-registered plumbers, SAQCC Gas technicians or other trade partners engaged on your project.
- Insurers: Where you've authorised us to communicate with your insurer.
- Payment processors: Card payment information handled by accredited processors.
- Regulators and authorities: Where required by South African law.
5. How Long We Keep Your Information
- Service records and reports: Minimum 5 years from completion.
- Financial records: 5 years from the end of the relevant tax year, as required by SARS.
- Marketing consents: Until you withdraw consent.
6. Your Rights Under POPIA
- Request access to the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of information no longer needed
- Object to processing for direct marketing
- Withdraw consent where processing is based on consent
- Lodge a complaint with the Information Regulator
