Terms Of Service
The terms on which HydroTrace Leak Detection & Pipe Relining provides services.
Effective: May 2026
1. Definitions
- "HydroTrace": HydroTrace Leak Detection & Pipe Relining, a South African business.
- "Client": The person or organisation engaging HydroTrace's services.
- "Services": Leak detection, pipe inspection, GPR survey, drain cleaning, pipe rehabilitation and related work.
- "Site": The property or location where services are performed.
2. Quotations
Quotations are valid for 30 days from the date issued unless stated otherwise. Quotations may be revised if site conditions differ materially from what was described — any such revision will be communicated before chargeable work continues.
3. Engagement & Acceptance
A binding engagement exists when the client accepts a quotation in writing (including via email or WhatsApp) or instructs work to commence. Verbal instructions for emergency work are accepted but should be confirmed in writing afterwards.
4. Site Access & Preparation
The client is responsible for ensuring HydroTrace has safe and reasonable access to the site at the agreed time. If reasonable access is not provided at the agreed time, a wasted-callout fee may apply.
5. Scope Of Work
HydroTrace performs the services described in the accepted quotation. Work outside that scope will be quoted separately and require client authorisation before proceeding.
6. Pricing & Payment
- Prices in quotations exclude VAT unless explicitly stated otherwise.
- Standard payment terms are 7 days from invoice date for commercial clients, or on the day of service for residential clients.
- For larger rehabilitation projects, a deposit may be required before work commences. Deposit terms are stated in the project quotation.
- Accepted payment methods: EFT, card payment, Zapper, SnapScan.
- Late payment may incur interest at the prescribed rate under the Prescribed Rate of Interest Act.
7. Cancellation & Rescheduling
Bookings cancelled with less than 24 hours' notice may incur a cancellation fee. Rescheduling with reasonable notice does not incur a fee.
8. Warranties
- Workmanship warranty: HydroTrace warrants its workmanship on rehabilitation services. Specific warranty terms and duration are stated in the project quotation and accepted before work begins.
- Detection reports: Reports reflect findings as at the date of investigation.
- Materials: Manufacturer warranties on installed materials are passed through to the client.
- Exclusions: Warranties do not cover damage caused by third-party interference, ground movement, vehicle loading, misuse, or failure to perform reasonable maintenance.
9. Repairs & Subcontractors
Where HydroTrace coordinates repair work performed by subcontracted PIRB-registered plumbers or other trade partners, those partners contract directly with the client unless otherwise agreed.
10. Limitation Of Liability
HydroTrace's liability for any claim arising from services provided is limited to the value of the services themselves, except where higher liability is imposed by South African law and cannot be limited by agreement.
11. Insurance
HydroTrace carries Public Liability insurance and Professional Indemnity insurance appropriate to the work performed. Certificates available on request.
12. Confidentiality
HydroTrace treats client information, site information and inspection findings as confidential. See our Privacy Policy for personal information handling.
13. Intellectual Property
Reports, drawings, photographs and other deliverables remain HydroTrace's intellectual property, but the client is granted an unlimited licence to use them for purposes related to the engagement.
14. Disputes
The parties agree to attempt direct resolution before escalating. Unresolved disputes are subject to the jurisdiction of the South African courts and governed by South African law.
